Organizational Context and Role:

The United Nations World Food Programme (UN/WFP) in Zimbabwe seeks applications from qualified candidates for its Harare Office.

Accountabilities: Within delegated authority, the Public Information Assistant will be responsible for the following duties:

 

 

  • Support staff in assigned areas to ensure that standard Operational Information Management (OIM) & Perfomance Reporting (PR) procedures and templates are followed to drive the quality, consistency and standardisation of information management and performance reporting acrossWFP.

 

  • Collate relevant information and data from media and local internal and external sources to facilitate and maximize the exchange of information and data flow between functional area networksinWFP,toprovideoperationalawarenessandunderstandingof events that mayhave humanitarianand/oroperational impact.

 

  • Support the collation and dissemination of development and humanitarian analysis pertaining toWFP currentorfutureresponsesanddonorpolicies,trendsandpreferences toensurecountryspecific input toWFP’s operational reporting.

 

  • Support the collation, analysis and communication of the ‘Essential Elements of Information’, pertainingtotheoperationalenvironmentandavailablehuman,financialand physical assets in order to facilitate access to timely and accurate information used at country, regional and corporatelevel.
  • Participate in the testing of and providing feedback on Standard Project Reports (SPR) Intelligent Next Generation system featuresand functions.

 

  • Support the preparation of Standard Project Reports (SPRs) for the Annual Reporting Exercise in collaboration with the country office programme, monitoring & evaluation, logistics and resource management functions by coordinating to ensure coherence and quality of performanceinformation.
  • Collaborate with counterparts internallytoensureconsistencyin humanitarian information and to complement WFP analysis and information.

 

  • Support the enhancement of the capacity of WFP staff and partners to effectively manage operational information and performance reporting, for example through schedulingthedelivery of the OIM & PR training on core competencies.

 

  • Support Management by preparing, organising and providing secretarial support to meetings.
  • Provide feedback on activities associated with the Corporate Performance Reporting Improvements.
  • Support the initiatives for developing improved, streamlined, and harmonized OIM & PR including drafting of OIM & PR related normative guidance, as required.

 

  • Support the assurance of defined quality standards in all processes and products. · Perform other related duties as required.

Results Expected:

With initiative and judgement produces organised, accurate and well documented records with well analysed data and addresses unforeseen situations seeking advice and guidance from supervisor, as necessary. May assign work to staff in lower grades.. Critical Success factors: Ability to review a variety of data, identify and adjust data discrepancies. Identify and resolve operational problems with substantial independence. Ability to obtain or give factual information of a non-routine nature involving interpretation of facts and requiring clarity of expression. Ability to perform detailed work, frequently of a confidential nature and/or to handle a large volume of work systematically, effectively and accurately. Ability to train other staff regarding relevant work responsibilities. Ability to work in a team environment and coordinate assignments to achieve common goals. Ability to deal patiently and tactfully with people of different national and cultural backgrounds. Qualifications: Secondary school education, preferably supplemented by courses in a field related to public information activities.. Experience: At least four years of progressively responsible support experience including at least two years in the field of public information or other related field. At least one year at G4 level or equivalent. Knowledge: General knowledge of information management best practices, techniques and processes with some understanding of the basic theoretical background. Strong written and oral communication skills, including substantive analysis and report writing skills. Knowledge of, or the ability to quickly assimilate, UN/WFP specific processes and systems. Desirable skills: Formal training in the relevant area of work. Proficiency in a second official UN language, depending on area of work.
